Planning Tips

Your first event does not need a finished supplier list or a perfect seating plan. Start with the decisions you know, keep uncertain details as candidates and build from there. This mini tutorial follows the three steps in EazyPlan's Create Plan wizard using a fictional garden wedding.

The screenshots show an example event, sample contact details and illustrative prices. Your available event types, services and account access may differ. Event creation must be available on your account; if you see a request-access message, follow that account flow first.

Before you begin

Sign in to EazyPlan and choose the team that will own the event. In the sidebar, open Plans → Create Plan. Have an event name, future date and at least one service candidate ready. For the example below, we use a wedding called “Our Garden Wedding,” a budget of 10,000 EUR and a venue candidate quoted at 2,500 EUR. These amounts demonstrate the fields; they are not market prices. Select any screenshot to open it at full size.

Step 1: set the event details and budget

In Plan Core, enter your plan name, confirm the team, select an event type and choose a future date. Leave the lifecycle state as Pending while you are researching. Select Active when you are ready for the event to enter implementation, subject to your account's active-event allowance.

The budget fields are optional planning preferences. Enter the overall ceiling, choose its currency and select a budget style. Add a short plan focus, such as “Great food, relaxed atmosphere, time with family.” It gives your priorities a home alongside the practical details.

Step 1: give the event a name, date and team, then add the budget and priorities you want to plan around.

Choose Next to continue. If a required field is missing, correct the marked field before moving on. Use a name you and your collaborators will recognize in your list of plans.

Step 2: add at least one service candidate

In Services, choose a service type and enter a contact name, phone number and a positive price. The example uses a venue candidate called “Garden House — example venue.” Add a description explaining the quote's scope, such as hire, furniture, cleanup and the access times you still need to confirm.

Use Add service for more candidates. Complete at least one service row to continue. Keep alternatives identifiable so you can compare them later. The Select service for implementation checkbox records your chosen service; it does not contact a supplier, make a reservation or confirm a booking.

Step 2: keep the supplier, price and scope together. A saved candidate is a planning record, not a booking.

If you attach a contract, use the appropriate file field and confirm it belongs to the correct candidate. Check the currency beside the price. When at least one service row is complete, choose Next.

Step 3: review locations, menus and tables

The final step is Locations, Menus, Layout. Location and menu options depend on the services you added. A venue service can have location candidates; food and dining services can have menu candidates. You can leave those lists empty while you research, or add the details you already know.

If you add a location, choose its service and complete the required location details. If you add a menu, connect it to the relevant service and complete its type, name and value. Avoid creating incomplete rows simply to fill every section: add a candidate when you have enough information to save it.

Step 3: review the optional candidates and the table layout before saving. The example keeps one rounded table with eight seats as a starting point.

Review the table number, seat capacity, shape and status. Use Add table when you know you need more tables; a layout image can be attached if you have one. Table capacity describes the layout and does not itself add or assign guests. The wizard needs at least one valid table to finish.

Save the plan and take the next useful action

Use Back to check an earlier step without starting again. When the required fields are complete, choose Create plan. A successful save opens the event's detail page. If saving fails, read the message, correct the problem and retry before assuming the event was created.

For a Pending event, continue comparing service, location and menu candidates in the draft view. Review your choices before moving into implementation: finalized locations and menus are managed separately from the research candidates. Choose your next task from the event planning checklist, compare a venue with the ten venue questions, and keep the budget guide nearby as quotes arrive.

Open Create Plan and build your own event.
